1. Who this policy covers
This Privacy Policy explains how Seamesy, operated by Veilant Access LLC, a New Jersey limited liability company ("Seamesy", "we", "us"), collects, uses and shares information when you use seamesy.com and our services, whether you're a buyer, a Designer, or just browsing. It should be read together with our Terms of Service.
2. Information we collect
To make custom garments possible and get them to you across borders, we collect the information below.
From buyers:
- Account details: your name, email address and password (the password is stored securely by our sign-in provider; we never see it).
- Your location: your country and state or region. This sets your currency and delivery options, and appears next to your name on reviews you leave.
- Delivery details: the shipping address you give for an order, which may be your own address or a local pickup or proxy address (for example, a family member or courier in Lagos or Accra), and for international shipping the delivery speed you choose (Express Courier or Standard Cargo).
- Body measurements and fit preferences, including measurement profiles you save to reuse across requests.
- If you supply your own fabric, how it will reach your Designer (for example, by international shipping or a drop-off by family).
- If you report a customs or shipping delay, or ask for Seamesy Lagos Hub storage, the details you give us and the storage, payment and drop-off records that follow.
- Requests, reference photos, chat messages, photos and videos, issue reports and reviews you send through Seamesy.
From everyone with an account:
- Messages you send to Seamesy support through the private support chat on an order.
- Reports you file about another user (the reason and any details you add), and the list of people you've blocked.
- Order activity such as when steps were completed, when each side replied, when a quote was sent, and whether an order ran past its estimated completion date. We use this to run the order clocks (including the 72-hour quote hold), check in on late orders and settle disputes.
- Records of cancellations and refunds: the reason, who the cancellation was put down to, the amounts refunded and kept, and when. If a payment is disputed with your bank (a chargeback), the dispute's status, reason and amount, which Stripe sends us.
- For Seamesy Lagos Hub storage, photos and notes of the piece's condition when it arrives, and who it was released to or where it was donated.
- For Designers, which notifications you've read or cleared in your notification bell, saved to your account so it stays the same on every device.
From Designers:
- Application details: your full legal name, business name, location, portfolio, social media links and the WhatsApp number you give us. If Seamesy asks you for more information about your application, we keep the questions, your replies and any photos you send. We also record the IP address an application is sent from. If an application is declined, the same email address or WhatsApp number can apply again after 30 days; to stop spam, we may keep the email address, WhatsApp number and IP address of an applicant we've banned so future applications from them aren't accepted.
- Verification and payout details: your full legal name, bank name and account number, and a photo of an official government ID that shows your legal name (for example, a National ID, Ghana Card or NIN slip, passport, driving licence or voter's card). If you choose to give it, your storefront or workshop address.
- Store content: photos, piece descriptions, prices, turnaround times and shipping destinations.
- Shipping records for your orders: the package weight you quote, how you shipped (Express Courier, Standard Cargo or local dispatch), tracking numbers, and photos of waybills, shipping receipts, dispatch or handover. A waybill photo is also posted in the order chat so the buyer can see it.
- Payout records: when Seamesy sent your 30% material deposit and your final payout, and any amounts deducted.
Collected automatically:
- Basic device and usage data (such as browser type and pages visited) to keep the site working and secure.
- An approximate location from your IP address, looked up once through a location service (ipwho.is), to pre-select your country and currency. You can change both at any time.
From third parties:
- If you sign in with Google, we receive the basic profile information Google shares (your name and email address).
- Our payment provider, Stripe, tells us what we need to confirm a payment (such as its status and the last four digits of the card).
3. How we use your information
- To run the marketplace: matching requests with Designers, processing orders, holding and releasing payments, and letting buyers and Designers message each other.
- To send you order and account emails (new quotes, messages, status updates, the 72-hour review window, dispute and cancellation outcomes, Designer verification results, and notice of any suspension, ban or lifted restriction) and, for Designers, WhatsApp alerts when a buyer messages you. To avoid flooding you, we skip a chat-message email if the same person already has an unread message to you from the last 15 minutes, and send a Designer at most one WhatsApp chat alert per order every 15 minutes. Alerts about order steps always go out straight away.
- To review Designer applications and verify each Designer's identity and payout details before their store goes live. If an application is approved for an email address that already has a buyer account, we turn that account into a Designer account and keep its earlier orders on it.
- To let the Seamesy team know when a new account is created (your name, email address, account type, sign-in method and country) and when a Designer submits payout details, so we can check and support new accounts.
- To keep the platform safe: our chat filter automatically checks messages for contact details or payment requests that would move an order off Seamesy (tracking numbers and delivery addresses are allowed through). A message it catches is held until the Seamesy team reviews it. Blocks stop two people from starting a new order together and close the text chat on orders they already share.
- To provide support, settle disputes, follow up on overdue orders, decide late-delivery adjustments to a Designer's payout, and investigate reports of abuse or fraud.
- To improve Seamesy and keep it secure.
4. How we share your information
We do not sell your personal data. We share it only where needed to fulfil your order and run the service:
- Designers and buyers. Your chosen Designer receives your name, measurements, reference photos and delivery address so they can make and ship your piece. Buyers see a Designer's public store and the details relevant to their order. We don't tell anyone that you reported them, and your support chat with Seamesy is never shown to the other party. Someone you block isn't notified, but they may notice they can't start a new order with you or send you chat messages.
- Group orders. If you join a group order from someone's group link, the person who shared it can see your first name and your order's progress (for example, "Paid" or "Shipped"). They never see your price, measurements or address. The link only copies the design, not the original buyer's measurements, delivery details or prices.
- The public. Reviews you leave show your name, your state or region and country, your rating and what you wrote. A Designer's store page is public once it goes live, and shows their completed-order count and typical reply time, worked out from how quickly they answer new requests. We never publish a Designer's legal name, bank details, identity document or storefront address.
- Logistics partners. Your name and delivery address may be shared with courier services and shipping aggregators (such as Topship, Terminal Africa, DHL or FedEx) to create shipping labels and waybills. The same applies to cargo agents if your order ships by Standard Cargo. If you use Seamesy Lagos Hub storage, Seamesy and your Designer use your order details to arrange the drop-off, and Seamesy uses your delivery address to send the piece on when you ask.
- Payment processing. Card payments are handled by Stripe, including fraud prevention.
- Service providers who help us run Seamesy: our database and hosting providers (Supabase and Hostinger), email delivery, and Meta's WhatsApp Business service for Designer alerts. Each receives only what it needs to do its job.
- For legal reasons, if required by law, to enforce our Terms of Service, or to protect the rights, safety or property of Seamesy, our users or the public.
5. Payment and payout information
Buyers' card payments are processed by Stripe under its own privacy policy. Seamesy never sees or stores your full card number. Refunds go back to your original payment method through Stripe. Designers' bank details are stored securely, can only be seen by a small number of authorised Seamesy staff, and are used only to send your payouts.
6. Messages and moderation
Order chats are the official record of an order. Seamesy staff may read an order's chat to resolve a dispute, investigate a report, review a held message, follow up on an overdue order, or help when asked. Each order also has a private support chat between you and Seamesy; only you and authorised Seamesy staff can read it. Staff reply there, and in order chats, as "Seamesy support" rather than under their own names, but we keep an internal record of which staff member sent each message. When a Designer replies to a WhatsApp alert, the reply is copied into the order chat. The content of chat messages is never sent to WhatsApp, only a short alert with a link back to Seamesy.
7. Data retention and deletion
We keep information only as long as we need it for the reasons in this policy. The periods below are the longest we keep each kind of record; after that it is deleted or anonymised so it can no longer identify you.
- Your account and profile (name, email, country, preferences, saved measurement profiles, store content): while your account is open. You can delete saved measurement profiles yourself at any time. When you ask us to delete your account, we delete these within 30 days, apart from the records below.
- Order records (requests, quotes, measurements sent with an order, order chats, support chats, photos, approvals, tracking and delivery records): for 3 years after the order is completed or cancelled, so we can handle disputes, chargebacks (which banks can raise many months after a payment) and legal claims. Videos sent in order chats are deleted after 30 days; fabric approval videos and photos attached to an issue report are kept with the order record as evidence.
- Financial records (payments, refunds, chargebacks, budget increases, Designer payouts, deposits and deductions, invoices, and the order details needed to explain them): for 7 years after the transaction, because tax, accounting and payment rules require it. These are kept even if you delete your account.
- Designer verification records (legal name, government ID photo, payout bank details and the verification result): while the store is active and for 5 years after the Designer account closes, for anti-fraud and anti-money-laundering purposes. These are kept even if the account is deleted.
- Designer applications that aren't approved: for 12 months after the decision. For a banned applicant, the email address, WhatsApp number and IP address are kept for as long as the ban is in force.
- Reports, blocks and moderation records (including held messages and account restrictions): for 3 years after the last related activity, to keep the platform safe.
- Lagos Hub records: kept with the order record above.
- Marketing and community sign-ups: until you unsubscribe.
Archiving an order only hides it from your orders list; it doesn't delete anything. Orders with no payment held and no activity for 90 days are archived automatically. Seamesy staff can also archive a declined Designer application, which hides it from the active list but doesn't delete it.
Seamesy can permanently delete an order, for example one created in error or for testing, or as part of a deletion request. That removes the order, its chats and the records linked to it from the service. We keep a restricted internal copy of the order and request details, with who deleted it and when, for the financial-records period above; only senior Seamesy staff can see it.
You can ask us to delete your account and personal data at any time by emailing support@seamesy.com. We'll delete it unless we need to keep it to meet financial or legal obligations, resolve an active order, dispute or chargeback, or enforce our Terms of Service. Records we have to keep are restricted to a small number of authorised Seamesy staff and aren't used for marketing or anything else. Stripe also keeps its own payment records under its privacy policy.
8. Who at Seamesy can see your information
Access is limited to what each person needs. Seamesy staff accounts are created only by Seamesy's senior administrators, and each is given a support or senior role. Support staff can see what they need to help with orders, applications, reports and support chats. Payout details and Designer ID documents are used only to verify Designers and pay them, and the ability to send refunds, cancel orders and mark payouts is limited to senior staff. We keep an internal record of which staff member sent each support message and took each money or account action. Designers see only the buyer details needed for their order (section 4), and never another buyer's information.
9. Your choices and rights
- You can view and update your account details and measurements at any time from your account page. To protect orders, your account country can't be changed after it's first saved, and a buyer's name can't be changed while a paid order is in progress; contact us if either needs correcting.
- You can see and undo the blocks you've made under Account → Blocked accounts.
- You can ask us for a copy of your personal information, or ask us to correct or delete it, by emailing support@seamesy.com from your account email. We may need to confirm it's you before acting. We'll reply within 30 days (sooner if the law that applies to you requires it), subject to the retention exceptions in section 7. If we can't do what you asked, we'll tell you why, and you can reply to ask us to look at it again.
- Order emails can't be turned off. They're how we tell you about quotes, payments, deadlines and your review window, so they're part of using Seamesy. Marketing and community emails are optional, and every one has an unsubscribe link.
10. Cookies and similar technology
We only use what the site needs to work:
- Sign-in: your browser's local storage keeps you signed in.
- Preferences: local storage remembers choices like your currency, theme, an unfinished request and, for Designers, whether tips show in Pidgin.
- Password reset: a short-lived local storage flag keeps a password-reset session on the "Set a new password" screen until you finish or cancel.
- Payments: Stripe sets its own cookies when you check out, to process the payment and prevent fraud.
We don't use advertising or cross-site tracking cookies, and we don't use them to sell your data. Because everything above is essential, the notice you see on your first visit is for your information. If we ever add optional cookies, such as analytics, we'll ask for your permission first.
11. International data transfers
Seamesy connects buyers and Designers in different countries, so your information may be processed outside the country you live in, including where your Designer, our logistics partners, and our hosting and payment providers operate. We take steps to keep your information protected wherever it's processed.
12. Children's privacy
Seamesy is not meant for children, and we don't knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, please contact us so we can remove it.
13. Security
We use encrypted connections, database access rules and staff access controls to protect your information. Secret keys for payments and messaging are kept on our servers, never in the website itself. No online service can promise perfect security, so please use a strong, unique password for your Seamesy account.
14. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we'll update the "Last updated" date above and, where appropriate, let you know.
